Subscription Overview

Oliver AI now uses an organization-level subscription model for billing. Each organization has one current billing state tied to a plan, which can be trialing, active, past due, canceled, or trial expired.

What Is Tracked?

Your organization billing record tracks:

Field	Description
Organization ID	The organization the subscription belongs to
Plan	The current billing plan
Status	Trialing, active, past due, canceled, or trial expired
Current Period	The active billing or trial window
Usage Allowance	The included AI allowance for the period
Seat Limit	The number of team members supported by the plan

Billing Statuses

Subscriptions and trials progress through several states:

Status	Description
Trialing	Organization is inside its free trial period
Active	Paid subscription is live
Past Due	Payment issue requires attention
Trial Expired	Trial has ended and billing has not started
Canceled	Subscription has been canceled

How AI Usage Is Metered

When a team member uses an AI feature:

1. Oliver checks whether the organization's trial or subscription allows the action.
2. The AI interaction is processed.
3. Usage cost is recorded against the organization's current billing period.
4. The event is logged for reporting and audit purposes.

Viewing Billing State

Managers and admins can view billing status for their organization:

1. Navigate to Subscription (in the sidebar).
2. Review the current plan, status, trial dates, period end, and allowance.
3. Use Stripe checkout or management actions from the subscription screen.

Best Practices

• Monitor AI allowance regularly -- Check period usage before you hit your limit.
• Plan for usage spikes -- Product launches and onboarding periods often need more AI usage.
• Handle trial conversions early -- Convert before the trial ends if your team is actively using the platform.

Warning: When a trial expires or an organization exceeds its included AI allowance, AI features can be blocked until billing is updated.
